Sound Desk
1. Operate the audio mixer during the meeting. Mics on/off/volume
2. Sanitize all audio/video touch areas and microphones before and after the meeting.
3. Test all the microphones before the meeting. - batteries etc, check which stage Mics are used
4. Turns off Loop Amp, also Wireless Mic Receivers
5. Charges the Mic batteries pre meeting and immediately post meeting (apparently 30 mins is all they need now). When leaving turn off charger.
Media & Zoom
1. Pre-meeting test users audio & video as needed if they have meeting parts.
2. Downloads all media for that meeting – JW Library mostly / onlyM for others. Check that they work.
3. onlyT to be used for timing the brothers on stage
4. AV Support shows media - songs/videos/images - and shares them with Zoom. (sharing the “advanced\portion of screen” or screen 2)
5. Verify that the camera is functioning properly.
6. The Kingdom Hall audience should not be shown.
7. The breakout rooms could close 90 seconds before the meeting, then all will return usually within 60 seconds to main room. At that point they
will all be muted
8. Spotlights speaker for ALL talks and items - this will mean we do not see the Zoom attendees unless they are doing a talk. We should not see them answering up.
For demonstrations or interviews, allow the active speaker to switch automatically rather than spotlighting multiple
participants at the same time.
9. Ensure that the Zoom window is in the foreground on the Kingdom Hall TVs.
10. As the meeting starts enable the camera.
11. In order for the platform speaker at the hall to be heard on zoom their Zoom audio should be unmuted.
12. After the meeting ends disable the Video camera in Zoom and mute the Platform Audio.
13. At the end displays a 20 minute Cleaning Countdown for socialising. Double click on “countdown” icon and drag it to front TVs.
14. Turns off PC or runs batch file to do same.
Zoom Attendant
(May be done from home, though there is a laptop at the hall you can have on your knee).
1. Opens Zoom and closes Zoom. As soon as logged in change Participants list (3 dots) Select “Mute Participants on Entry” and deselect “Allow participants to unmute themselves”.
This means persons cannot unmute themselves except when in a breakout room
2. Admits Media Person (30 mins before) and makes him co-host.
3. He organises the breakout rooms as soon as logged in, before and also after the meeting. He moves everyone into them as no one can speak in the main area. He sets option to allow persons to move rooms
4. Monitor AV quality and advises KH Sound desk
5. Makes a count of Zoom attendees.
6. Informs users if they are muted and trying to speak.
7. Does 99% of muting/unmuting. Unless otherwise agreed.
8. NB For shortened Sunday meetings eg when viewing Convention - the Media Brother does the count.
Platform
1. Set up Microphones for Main speaker and Readers / Student talks. Informs sound desk which Mic sockets to use.
2. Checks the iPad is logged in for the speaker. No Audio No Video selected pre login
3. Positions the iPad for the speaker.
4. Charges the iPad after the meeting. Do not leave it charging overnight.
5. Liaises with Sound Desk re Turning off TVs - whether to wait until cleaning timer over or not.
Overall everyone can help everyone else if a problem arises
Attendants
1. The Kingdom Hall doors will be unlocked 30 minutes prior to the start of a congregation meeting, at the earliest. The first brother to unlock
the Kingdom Hall doors will be responsible for monitoring the entrance until the Foyer Attendant (F) arrives.
2. The Car Park Attendant will arrive up to 30 minutes before the meeting and will organise car parking. This will prevent overloading of the car park and
will mean the brothers only park in the designated areas allowing a route for fire escape, he closes the gate after 5 minutes of the meeting
3. Foyer Attendant (F) & Hall Attendant (H) assignments start 30 minutes before each meeting and ends after all of the attendees have left the building.
4. Foyer Attendant monitors the entrance before, during, and after the meeting and watches the CCTV. At all times, he will remain alert to those wishing to enter,
kindly ascertaining their intentions if they are unknown.
5. Foyer Attendant locks all the doors five minutes after the meeting starts.
6. The Hall Attendant (H) will monitor temperature during the meeting.
7. At the end of the meeting the Foyer Attendant will open the doors for brothers to leave and the Car Park Attendant can assist with the other door.
8. Both Attendants (F) & (H) lock the doors once all attendees have left the building.
9. Foyer Attendant: When there are multiple meetings per day a handover should take place in person to the following congregation. If the hall is to be locked up
before the next congregation arrives, a text message will be sent to the contact brother in that hall with a security update if an incident has occured.
10. Attendants should be familiar with all evacuation routes.
11. Should a fire start the Hall Attendant becomes the Incident Controller and is responsible for organising the evacuation with the help of the
Foyer Attendant. The Incident Controller calls the Emergency Services.
12. Before or after every meeting the Foyer Attendant should perform a fire alarm test using the call points (and a key) or the ceiling push button.
He then cancels the alarm at the entry panel. He also notes the test on the log sheet.
13. If anything untoward is discovered then Both Attendants (F) & (H) will investigate. NEVER do this alone.
14. During a Fire Drill the Foyer Attendant will stay at the Hall.
15. The Foyer Attendant checks for ice near the doors of the building and if needed report this to the Hall Attendant.
16. The Hall Attendant, with the approval of the body of elders, may open the side door and front door BUT only if extra attendants cover these
positions by seating or standing outside of them.
17. If a disruptive individual is willing to be reasoned with then (F) & (H) will speak to him outside the main hall. If he persists he will be asked to leave
If he refuses to leave contact the Police. Generally we would not use force to remove a person.
18. If a medical situation arises then (H) will along with another person go to the location and call 999 if needed. He may also stop the meeting for a time.
He will ensure the path for ambulance staff is clear.
19. The Hall Attendant takes the lead in dealing with a violent individual. Calling 999. Barricading doors to protect the larger number of persons.
The (F) assists in this regard along with anyone else available. In this situation remain calm, instruct others to do the same and silence phones.
(F) & (H) will direct others to safety if possible or hide in place. If being attacked then several together can subdue an attacker.
20. The Hall Attendant will, in case of bomb threat, go to the stage and ask all to evacuate while taking their belongings. Then he will call 999.
Do not enter again until the Police say so
